Job Summary:

The Personal Executive Assistant is responsible for handling and managing both personal and business duties of the executives. They will provides a high-level administrative support by preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and travel. Holds a significant amount of autonomy and has ability to make decisions in a variety of areas in supporting the executives.


* Manage and maintain executives' schedules and manage their travel.
* Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
* Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
* Open, sort, and distribute incoming correspondence, including faxes and email. File and retrieve corporate documents, records, and reports.
* Prepare agendas and make arrangements for committee, board, and other meetings. Attend meetings to record minutes. Compile, transcribe, and distribute minutes of meetings.
* Handling and managing both business and personal duties of the Executive including but not limited to running errands, scheduling appointments answering calls and liaising with clients competently
* Screen visitors and calls and determine whether they should be given access to specific individuals.
* Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
* Drafting correspondence, diary management, planning and organizing meetings and events, organizing complex travel
* Conducting research and preparing presentations as well as managing ad hoc projects
* All other duties as assigned

* Education:

* Associate's Degree required
* Bachelor's Degree preferred
* Experience:

* 5+ years as an Executive Assistant or Office Manager required
* Knowledge, Skills, and Abilities:

* Proficiency in MS Word, Excel and other business software applications required
* Excellent written and verbal communication skills required
* High level of customer service required
* Ability to maintain a high degree of confidentiality required
* Excellent organizational skills required
* Ability to multitask required

Special Physical Requirements:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for long periods, stand, walk, bend and stoop to perform the essential functions of this job. Occasionally lift and/or move up to 20 pounds.
